How do I access the project calendar?

Each project has a calendar of its own. It is available as another tab option as shown below.

What can I see on the Project Calendar TAB?

On click of the calendar tab this is what you see

  • The calendar has Day, Month, Timeline, Timeline Week and Timeline Month views to choose from. The first time you select this TAB the Day view is visible. Thereafter, when the Calendar TAB is selected the previous calendar view is visible.
  • There is a filter for selecting a single resource; to view tasks only for the selected resource
  • Ability to view the project tasks by stage in the calendar

The Day view

Tasks are visible as per the plan time and have a default duration of 1 hour if there is no deadline set. In case, there is a deadline the duration of the task is determined by the difference in plan date/time and deadline date/time.

Task on the calendar tells you which color stage is the project task in, the task serial number, task title and the name of the current task owner. 

Task details are visible on hovering over the task on the calendar. This additionally tells you the name of the stage the project task is in; and the plan date/time and deadline date/time.

You will notice an interesting notation the dotted gray margin on the left. Here is the entire list of colors / patterns we show, and what do they mean...

Gray dotted margin

Task has been planned and has no deadline.

Gray margin

Task has been planned and a deadline has been set; and neither the plan date nor the deadline has been missed; task is on track.

Orange margin

Task has been planned and also has a deadline; but the task has missed plan date and not yet started.

Orange dotted margin

Task has been planned but a deadline has not been set; and the task has missed plan date and not yet started.

Also, tasks that were created yesterday and any day prior; and have no plan date or a deadline are shown with an orange dotted margin; since they are now overdue.

Red margin

Tasks that have missed the deadline and not completed.

Green margin

Tasks which are currently being worked on (the On it state).

Purple margin

Tasks which have not been planned but have a deadline set.

Purple dotted margin

Tasks which have just been created today; and have no plan date or deadline.

Note: This same task will appear with an orange dotted line on the day after it has been created, since there was no action taken to plan it or set a deadline.

The day view on the mobile (iOS and Android apps have only the day view)

The color patterns are the same across all views.

The Timeline view

The timeline view is most useful when viewed grouped by stage. There is an option in the top right hand side of the Calendar Tab "Group by stage"; check this to view the project tasks across the stages defined for the project.

In this view you can also change the stage of the task by dragging and dropping the task to the next stage. 

The Timeline Week view

Here we get additional options for changing the calendar range from Hourly, 3 Hourly, 6 Hourly and Daily. These different options are useful for viewing shorter or longer duration tasks on the same calendar view.

The Timeline Month View

The timeline month view as shown below gives you a view of the tasks date wise for the entire month

Here too we get additional options for changing the calendar range from Hourly, 3 Hourly, 6 Hourly and Daily.

How do I plan my tasks?

Planning your day (or even planning for your team member)

If you need to plan your day using the calendar; here is how to go about it.

Click on the Resource selection drop down and select yourself (or even plan the day for your team members). You can drag and drop the tasks to plan overlapping tasks.

How do I review a resource calendar

Let us say, you want to review tasks assigned to a resource in your project for a month.

Select the resource name as shown below, "David" or "Neeraj" in example below. Once the view is filtered you can review the tasks assigned David or Neeraj. In this example I get a clear view of which task has missed deadline, indicated with a red margin.
