What is Zapier integration

Zapty is available on the Zapier platform to connect other apps to Zapty. Zapier allows you to configure workflows depending on triggers in Zapty and also setup workflows to update Zapty with triggers from other apps.

How to create a Zap using the Zapty app

Triggers

Triggers in Zapty are sent to Zapier to take pre-defined workflow action or multi-step workflow actions.

New Task

Triggered when a new task is created in the pre-defined context (project, team, discussion or a custom context ID)

  • Select context: You can monitor creation of a new task in one of the following type of contexts (project, team, discussion) or provide a Specific Context ID

If Any discussion is selected then if a task is created in any discussion that you have access to will trigger an action.
If Any project is selected then if a task is created in any project that you have access to will trigger an action.
If Any team is selected then if a task is created in any team that you have access to will trigger an action.
If Any of (Discussion/Projects/Teams) is selected then if a task is created in any discussion/project/team that you have access to will trigger an action.
If Specific (Discussion/Projects/Teams) is selected then if a task is created in the selected context in the next field Specific context (only shows when Specific is selected) will trigger an action.

  • Specific context: Visible when Specific (Discussion/Projects/Teams) is selected in the Select context field. Here you get a list of all the contexts (discussions, projects, teams) visible to you. Example below:
  • Type of task: Select the type of task to be monitored (any, poll, approval, group task, normal task)
  • Task created by: Select if you want to monitor task created by Self, anyone or specific persons which you can see

If Specific is selected then you will need to select the person in the next field; task creation triggers an action if task is created by this person only.
If Self is selected then task creation by you triggers an action.
if Anyone is selected then task creation by anyone triggers an action.

  • Specific person(s): Enter the user person(s) user id. You can select more than 1 person. A task created by any person in list will trigger an action.

New Message

Triggered when a new message is sent in the pre-defined context (project, team, discussion or a custom context ID)

  • Select context: You can monitor creation of a new message in one of the following type of contexts (project, team, discussion) or provide a Specific Context ID

If Any discussion is selected then if a message is sent in any discussion that you have access to will trigger an action.
If Any project is selected then if a message is sent in any project that you have access to will trigger an action.
If Any team is selected then if a message is sent in any team that you have access to will trigger an action.
If Any of (Discussion/Projects/Teams) is selected then if a message is sent in any discussion/project/team that you have access to will trigger an action.
If Specific (Discussion/Projects/Teams) is selected then if a message is sent in the selected context in the next field Specific context (only shows when Specific is selected) will trigger an action.

  • Specific context: Visible when Specific (Discussion/Projects/Teams) is selected in the Select context field. Here you get a list of all the contexts (discussions, projects, teams) visible to you. Example below:
  • Message type: Select which message type you want to monitor (text message, image, video, audio, pdf, google drive document, any). An upload of selected file type, or a text message will trigger an action.
  • Message sent by: Select if you want to monitor message created by Self, anyone or specific persons which you can see.
  • Specific person(s): Enter the user person(s) user id. You can select more than 1 person. Any post or file upload is created by any person in list will trigger an action.

Task Update

Triggered when a task is updated in the pre-defined context (project, team, discussion or a custom context ID)

  • Select context: You can monitor update of a task in one of the following type of contexts (project, team, discussion) or provide a Specific Context ID

If Any discussion is selected then if a task is updated in any discussion that you have access to will trigger an action.
If Any project is selected then if a task is updated in any project that you have access to will trigger an action.
If Any team is selected then if a task is updated in any team that you have access to will trigger an action.
If Any of (Discussion/Projects/Teams) is updated then if a task is created in any discussion/project/team that you have access to will trigger an action.
If Specific (Discussion/Projects/Teams) is selected then if a task is updated in the selected context in the next field Specific context (only shows when Specific is selected) will trigger an action.

  • Specific context: Visible when Specific (Discussion/Projects/Teams) is selected in the Select context field. Here you get a list of all the contexts (discussions, projects, teams) visible to you. Example below:
  • Trigger on which update: Select the field which you want to monitor and trigger an update. If more than 1 field is selected then the trigger will activate on update of any of the fields. Example: Task Plan(Start) Date, Task Deadline(End Date), Task Completed, Task Stage Moved
  • Task created by: Select if you want to monitor task created by Self, anyone or specific persons which you can see

If Specific is selected then you will need to select the person in the next field; task creation triggers an action if task is created by this person only.
If Self is selected then task creation by you triggers an action.
if Anyone is selected then task creation by anyone triggers an action.

  • Specific person(s): Enter the user person(s) user id. You can select more than 1 person. A task created by any person in list will trigger an action.

Actions

Actions are taken in Zapty based on pre-defined triggers that occur in the paired apps.

Create task

A task is created in the pre-defined context (project, team, discussion or a custom context ID)

  • Select Context: Select the context in which the new task needs to be created (you can select a Zapty project, team, discussion) or a Custom Value (context ID)
  • Task Title: Set the title of the task
  • Notes: Add additional notes for the task
  • Plan Date: Set a plan date for the task. You can specify as today / next friday / standard date format(mm/dd/yyyy) / unix timestamp
  • Deadline Date: Set a deadline for the task. You can specify as today / next friday / standard date format(mm/dd/yyyy) / unix timestamp
  • Assignees: Select to whom you want to assign the task (If you don't find the assignee you can use Add a Search Step)
  • Checklist: Add Checklist item for your task (Prefix text with : for folder, ! for mandatory checklist item)

Create message

A message is sent in the pre-defined context (project, team, discussion or a custom context ID)

  • Select Context: Select the context in which the new message needs to be created. You can select the specific project / team / discussion
  • Message: Enter the message you want to post to the specific context

Update task

A task is updated in the pre-defined context (project, team, discussion or a custom context ID)

  • Select Context: Select the context in which the task needs to be updated (you can select a Zapty project, team, discussion) or a Custom Value (context ID)
  • Select Task: Select which task you want to update or use a Custom Value ( TASK ID ). Note: Select context first to retrieve all the tasks within the context
  • Task Title: To update the title. Note: The existing title will be replaced
  • Notes: To update the description. Note: The existing notes will be replaced
  • Update Plan Date?: Update the plan date as On it / Set to a specific date / Clear the plan date / leave it unchanged
  • Update Deadline Date?: You can set the deadline to a Specific Date / Clear Deadline / leave it unchanged
  • Checklist: Add Checklist item for your task (Prefix text with : for folder, ! for mandatory checklist item)
  • Add Label: Add labels to prioritize and better organize tasks (If you don't find the labels you can use Add a Search Step)
  • Remove Label: Remove unwanted labels from the task to reorganize
  • Make owner: Provide user email to make someone as owner (If you don't find the email you can use Add a Search Step)
  • Remove Assignee: Provide user email to remove them from assignee list
  • Complete task?: To complete the task select Yes

Search

Search for a Label

When selecting labels if a label is not found (since only the latest 100 labels are visible in the drop down selection); you will need to add a search label step. This will return a single label for proceeding further on the action.

Search for a Person

When selecting a person/assignee if the person is not found (since only the most recent 100 members/guests are visible in the drop down selection); you will need to add a search person step. This will return a single person for proceeding further on the action.
